What is chargeable?

Virtual Assistants bill you for their time and therefore work with online timesheets. I use the app Toggl to record all of my working hours which can be sent to you alongside your invoice. You can expect to be billed for all work I do including responding to emails about your work, doing your work, meeting with you about your work or discussing over the phone. You will receive an invoice at the end of every month detailing work undertaken and hours.

What are your payment terms?

Invoiced at the end of each month and payment is due within 7 days of the invoiced date.

What about holidays and sick leave?

As an independent contractor, the Virtual Assistant is not entitled to paid annual leave, sick pay, or other employee benefits. The Client is not responsible for covering any costs related to the Virtual Assistant’s time off, including planned holidays, sick leave, or bank holidays. The Client will not be charged for any period during which the Virtual Assistant is unavailable due to annual leave, illness, or public holidays, unless otherwise agreed in writing in advance.

What if there is a problem?

Similar to onboarding a new employee, working with a new virtual assistant (VA) involves a learning curve. It will take time for us to understand how things operate, and there may be occasional challenges. To ensure a successful start, please consider the following steps:

• Provide all necessary information, training and access to enable me to deliver high-quality work.
• Dedicate time to foster the relationship through initial and regular meetings.
• Inform me promptly (within 36 hours of delivery) if there are any concerns regarding the completed work.
• Feel comfortable suggesting improvements and be open to my recommendations as well.

If you are unhappy, let me know!

What software do you use?

• Clockify (Time Tracking)
• LastPass (Password Sharing)
• Asana (Task Management)
• One Drive (Document Management)
• Xero (Accounting)

I am always willing to learn new methods of working and to use various software packages. My goal is to identify and implement solutions that are most effective for you and your business.

Do you carry out regular reviews with your clients?

Certainly. I recommend scheduling a brief weekly call with all clients to maintain communication and confirm that projects are proceeding as planned. It is also essential to clarify deadlines and workloads. Additionally, this practice allows clients utilizing a retainer package to track the hours used within the month and ensure that tasks are prioritised appropriately.

Do you have a backup System to ensure data and work is never lost?

Yes, OneDrive is used to keep the work regularly backed up.

What measures have you implemented to ensure compliance with Governance and GDPR regulations?

I have Professional Indemnity and Cyber Insurance through PolicyBee, and I am registered with the Information Commissioner's Office (ICO). Additionally, I have installed Norton software for enhanced security.

Anything else?

If you feel I have missed something or you need any further details, please just ask!
